- An AI Implementation Team is typically an implementation lead plus one or two automation specialists.
- The first month is discovery and baseline; automation starts in month two.
- By month six, expect several workflows live and a monthly savings report.
An AI Implementation Team is a small group embedded in your company with one job: turn AI tools into measurable savings. Here is what a typical first six months looks like.
Month 1: discovery
Interview department heads, map the most expensive manual processes, and review existing systems and data. Agree on the first two or three workflows and measure their baselines.
Months 2 to 3: first automations
Build the first workflow, for example enquiry handling, invoice processing or sales follow-up. Test it with real cases alongside the existing process, fix the edge cases, then switch over. Train the users and write simple guides.
Months 4 to 5: scale
Move on to the next workflows using the same method. Set up an internal AI policy with legal and IT if one does not exist, and identify "AI champions" in each team who can help colleagues.
Month 6: review
Report hours saved, cost per transaction and error rates against the baseline for each workflow. Decide what to automate next, whether to extend the team, and whether any team members should be converted to permanent roles to keep the capability in-house.
Who is on the team
- Implementation lead: owns the plan, works with management, designs workflows.
- Automation specialists: configure tools, connect systems, handle testing and support.
They work inside your company and report to you, which is what makes the change stick. Find out more about our AI Implementation Team.
